1. RoboForm
A 2012 Janrain/Harris Interactive study says that “58 percent of online adults have five or more unique passwords associated with their online logins and 30 percent of people have more than 10 unique passwords they need to remember. 38 percent of people think it sounds more appealing to tackle household chores—from folding the laundry to scrubbing toilets—than to try and come up with another new user name or password”
The problem has gotten a bit worse despite more people using password manager software/apps.
RoboForm is a password manager that saves your online accounts login usernames and passwords. It automatically logs you in once you provide a master password. You can also save bookmarks and notes, and secure them with your master passwords.
It is a cross-platform app and syncs across all my devices – Android, iOS, MAC, Windows, etc. On my iPhone, it is super easy and fast to login into various websites and apps with RoboForm.
The below screenshots show you what I have on my Chrome browser as an extension. Just cannot live without RoboForm.
2. TextExpander
If you are typing anything more than once on a given day, then you must use a text expansion app. TextExpander is a text expansion app that I use. You save your text, email addresses, phone numbers, website links, any script you use over and over. You choose an abbreviation for each of the saved text or scripts. It is available for iOS & MAC. A beta version is available for Windows PC.
For example, I have saved my website address http://www.LeadershipFocusHQ.com with an abbreviation “lfhq”, my bio script with an abbreviation “bbio”, my email address as “ggmail”, etc. Every time I need to type any of these, I just type the abbreviation for it.
Another way I use TextExpander all the time is responding to someone's LinkedIn connection request. After I accept their request, I send them a message in LinkedIn. I personalize it in the beginning by referring to their name, and then simply type “licr” and BOOM! textexpander app on my iPhone pastes the whole response. See below:
3. IFTTT
IFTTT is an app from IFTTT that has “recipes” for taking an “action” based on certain “triggers”. I use it for automatically posting my Fitbit results to Facebook & Twitter. I use it to automatically populate Google spreadsheet that tracks every post made in Buffer (a social media sharing app). I also put them on my Google Calendar.
Another cool recipe and a highly efficient way I use IFTTT is by getting an SMS when an important email arrives. Talk about automation! 😊
Every month I get an email from Chris Ducker about his monthly Youpreneur web meeting. The meeting day changes a bit. I want to make sure I don't miss that email so that I can register for it and put it on my calendar. I have an IFTTT recipe for that to send me an SMS. See below:
4. WordSwag
WordSwag is an iOS (iPhone & iPad) device app for quickly creating images for social media sharing. It is super easy and fast to put texts or quotes in various fonts and styles.
Several quotes are “automatically” generated and typography can be randomly generated for you to pick from.
I have created a logo or branding template which I apply to every image I create in WordSwag. One example is shown below with my logo, name, and text over the image.
Can't tell you how much time it has saved me. If you are creating images for social media sharing several times a week, you got to try it.
5. Fujitsu ScanSnap iX500 Scanner
This one is not an app obviously. Fujitsu's ScanSnap iX500 is an amazing document scanner. For years, I struggled with those All-in-One printers/scanners and wasted my life! About 3 years back, I pulled the trigger and bought one these. It scans around 25–30 sheets/minute both sides at the same time! And, the quality of the scans? Superb with low file size!
Even when you don't have loads of papers to scan, it makes a huge difference when I need to scan a couple of sheets of paper on the run.
It's supported on both MAC and PC.
You can use its Android or iOS device app to initiate a scan without using your computer. It's super efficient and time saver (read, life saver). So many times I ended up scanning papers using my iPhone while I am about to run out the door.

Here is a bonus tip for those who are on PCs.
If you don't use MAC and use Windows PC only, the text expansion software I highly recommend is PhraseExpander. I use it on my Windows laptop. It saves me time by expanding texts I use repetitively without typing them every time. It's a great alternative to TextExpander mentioned above.
